About the Role:
The Executive Assistant to the CEO is a critical role, providing high-level professional and personal support to the CEO and, when needed, his family. Based in our Beverly Hills headquarters, this onsite position requires exceptional organizational skills, discretion, and a proactive approach. You’ll act as a strategic partner to the CEO, ensuring day-to-day activities run smoothly while also handling personal tasks to support a well-balanced, effective schedule.
Key Responsibilities:
Professional Support:
- Provide comprehensive administrative support to the CEO, including managing schedules, coordinating meetings, and handling correspondence with utmost discretion and efficiency.
- Prepare reports, presentations, and materials to ensure the CEO is fully equipped for engagements.
- Act as a trusted gatekeeper, prioritizing incoming communications and addressing urgent matters proactively.
Calendar & Travel Management:
- Organize and maintain the CEO’s schedule, ensuring seamless coordination of meetings, travel, and deadlines.
- Plan and manage all travel arrangements, including flights, accommodations, and itineraries, to optimize the CEO’s time.
Personal Support:
- Assist with personal errands, appointments, and household management tasks to support the CEO and his family.
- Coordinate family schedules, events, and travel, ensuring all arrangements are handled smoothly.
- Manage special projects or requests, such as gift purchasing, planning family celebrations, or arranging for home services.
Office Liaison:
- Collaborate with internal teams to ensure clear communication and alignment on priorities, serving as a central point of contact for the CEO’s initiatives.
- Build and maintain strong relationships with external stakeholders, including clients, partners, and vendors, on behalf of the CEO.
Event Coordination:
- Assist in planning and executing executive-level meetings, offsite events, and company initiatives, ensuring all details are handled with precision.
Special Projects:
- Support the CEO with strategic projects and ad hoc initiatives, demonstrating resourcefulness and a results-oriented mindset.
Qualifications:
- Proven experience as an executive assistant or in a similar high-level support role, preferably with personal assistant responsibilities.
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
- Strong interpersonal and communication abilities, with a professional and polished demeanor.
- High level of discretion, confidentiality, and adaptability to changing needs.
- Proficiency in Microsoft Office and productivity tools; familiarity with CRM systems is a plus.
- Availability to work onsite, Monday–Friday, 8:00 AM–6:00 PM, with occasional flexibility for personal tasks or special requests.
